This article will show you how to do the following.

  • How to add your main number to Smart PBX.
  • How to Create and Enable a Call Flow.
  • How to Create an Auto Attendant.
  • How to Create a Ring Group.
  • How to Setup Time Conditions for Open/Closed Call Flows.

Methods:


 01. How to add your main number to Smart PBX

Description: In order to set up a call flow you will need to assign a number to the Main Numbers section.

  1. Login to the Audian Portal
  2. Click the Apps icon at the top right.
  3. Click Smart PBX
  4. Click the Main Number tab on the left.
  5. Click Add from Spare Numbers.

  6. Select the number(s) that apply.
    1. If you do not see the number please contact Audian 844.611.6110 opt 2.
  7. Click Add selected numbers.
  8. The portal will update with your main numbers.
 02. How To Create a Call Flow

Description: This section outlines how to build your main number but this guide can also be used to create other call flows such as the After Hours menu or Holiday menu.

A call flow tells your phone system what to do when someone calls a number or extension.

  1. Login to the Audian Portal
  2. Navigate to Apps.
  3. Click on Callflows and then click on Callflows once more.
  4. Click Add Call Flow on the left and build the main call flow. 
    1. Click the pencil edit button and name the call flow using the naming format below. It is important to name it with 01 in front as this will keep the call flow at the top of the list and make it easy to find for support.

      If you have multiple locations under one account then put a - Location name at the end to keep track of which call flow is which.

      1. 01 | Main Callflow
      2. 02 | After Hours 
      3. 03 | Holiday
      4. 04 | Emergency or Temp Forward
    2. Check "List this callflow in Main Number" and click Save.
      • This allows you to assign it to open hours in Smart PBX.
    3. Add the extension number by clicking Click to add a number.
      • You can dial that extension at any time to access this call flow and re-record the greeting.

  5. Click Save Changes
 03. How To Enable A Call Flow

Description: This section outlines how to enable call flows for your Open, Closed, Lunch, and Holidays.

  • After Hours and Lunch call flows can only be set after the open/closed hours are set up.
  • Holiday call flows can only be defined once Holidays is enabled in the Holiday section.
  1. Login to the Audian Portal
  2. Navigate back to Apps.
  3. Click Smart PBX.
  4. Click the Main Number tab on the left.
  5. Click Incoming Call Handling.
  6. Select one of the Hours tabs.
    1. Open Hours
    2. Lunch Hours
    3. After Hours
    4. Holidays
  7. Select the Advanced Call flows and select the call flow you would like enabled.
  8. Click Save Changes.
 04. How To Setup Open/Closed Hours

Description: This section outlines how to set up your business open and closed hours for your call flow when your in and out of the office.

  1. Login to the Audian Portal
  2. Click the Apps icon at the top right.
  3. Click Smart PBX
  4. Click Main Number located on the left.
  5. Click Office Hours Strategy.
  6. Choose either 24 hours Open Office or Custom.
    1. If you select 24 hours then your menu will not change.
  7. After selecting Custom Office Hours to select the day and time frames you are open.
  8. If your office has a lunch period select Are you closed for lunch hours?
  9. Click Save Changes.
 05. How To Setup Holiday Schedules

Description: This section outlines how to set up set up a holiday schedule. 

You will need to create a call flow in step 2 listed above and then enable the Holiday schedule by following the directions in step 3 listed above. 

  1. Login to the Audian Portal
  2. Click the Apps icon at the top right.
  3. Click Smart PBX
  4. Click Main Number located on the left.
  5. Click Office Holidays
  6. Check the box that says Are you closed for holidays?
  7. Click Add Holiday
  8. Select one of the following conditions.
    1. Single Day
    2. Date Range
    3. Advanced
  9. Fill In the specified holiday info
  10. Repeat these steps as much as you like.
  11. Click Save Changes.
